KNOWLEDGE MANAGEMENT & OPERATIONS ASSISTANT | INTERNATIONAL ORGANISATION | 12-MONTH CONTRACT
Our Client is a respected not-for-profit international organisation whose work supports regional fiscal development. As part of the continued development of its Knowledge Management function, they are looking to appoint a Knowledge Management & Operations Assistant to join the team on a 12-month renewable contract.
Reporting to the Head of Knowledge Management, this is a newly created role providing operational and administrative support across the organisation's knowledge repositories, document management processes, publication workflows and collaboration platforms.
The successful candidate will play an important role in ensuring that information and knowledge assets remain organised, accessible, current and effectively managed across the organisation.
Key responsibilities will include:
Maintain and update the organisation's intranet, knowledge repositories and document libraries, ensuring information is current, accurate and appropriately organised.
Coordinate with internal content owners on the regular review, updating and archiving of information and knowledge assets.
Support document and records management, including document classification, metadata tagging, indexing, version control and document lifecycle processes.
Maintain policies, guidelines, templates, reference materials and other organisation-wide documents within the appropriate repositories.
Monitor document review and expiry dates and coordinate follow-ups with relevant document owners.
Support the migration and consolidation of documents into centralised repositories.
Administer knowledge management workflows, databases and trackers, including publication and knowledge product registries.
Track publications and other knowledge products through internal review and approval workflows, ensuring progress and outstanding actions are appropriately monitored.
Maintain internal submission forms, SharePoint Lists, office schedule trackers, meeting and stakeholder engagement repositories and other administrative systems.
Maintain publication-related information and metadata, including authorship and contribution records.
Compile periodic reports, statistics and management information relating to knowledge management activities and knowledge products.
Support the ongoing improvement of KM processes, workflows and collaboration tools.
We are interested in speaking with candidates who possess:
A Diploma or relevant qualification in Knowledge Management, Information Management, Library & Information Science, Business Administration, Communications, Information Technology, or a related discipline.
Relevant experience in knowledge management, document/records management, intranet administration, information management or corporate/office operations.
Experience maintaining document repositories, databases, trackers or workflow management systems would be highly relevant.
Good working knowledge of the Microsoft 365 environment, particularly SharePoint, Teams, Forms and OneDrive.
Strong proficiency in Microsoft Office, particularly Excel, Word and PowerPoint.
Exposure to Power Automate, Power BI or workflow automation/reporting tools would be advantageous.
An understanding of document management concepts such as metadata, information classification, version control and document lifecycle management would be beneficial.
Strong organisational skills and attention to detail, with the ability to manage multiple activities and deadlines.
Good communication and stakeholder coordination skills, with a proactive and service-oriented approach.
The ability to work independently while collaborating effectively within a multicultural and international environment.
