About the Role

We are looking for a HR Shared Services (HRSS) professional to join our team as a Flexible HR Operations Resource.

This role provides broad exposure across the full employee lifecycle, supporting HR operations from pre-employment and onboarding through in-service administration and offboarding.

The successful candidate will be deployed across different HRSS portfolios based on operational priorities, service demands and workforce requirements. You will play an important role in ensuring HR transactions are processed accurately, efficiently and in compliance with company policies and regulatory requirements, while delivering a positive employee experience.

Key Responsibilities

HR Operations & Service Delivery

Act as the first point of contact for employees and HR stakeholders on HR-related enquiries.

Process HR transactions accurately and within established Service Level Agreements (SLAs).

Maintain accurate and up-to-date employee records in accordance with policies and compliance requirements.

Provide timely, professional and customer-focused support through HR shared service channels.

Work closely with HR stakeholders and internal teams to resolve operational queries and ensure smooth service delivery.

Pre-Employment & Onboarding

Prepare employment contracts, appointment letters and related documentation.

Coordinate medical screenings and pre-employment checks.

Create and maintain employee records and HR documentation.

Support work pass administration and coordinate with relevant government agencies where required.

Facilitate onboarding activities and ensure a smooth joining experience for new employees.

In-Service HR Operations

Maintain and update employee information and HR records.

Support probation confirmation processes and documentation.

Process contract renewals and related administrative activities.

Administer and maintain professional licence records.

Provide support for employment certification and related HR requests.

Ensure timely and accurate processing of employee lifecycle transactions.

Offboarding & Employee Separation

Support resignation, clearance and exit documentation processes.

Coordinate employee separation activities with relevant stakeholders.

Update employee records and process work pass cancellations where applicable.

Ensure all offboarding transactions and documentation are completed accurately and within the required timelines.

Continuous Improvement & Operational Support

Support HRSS projects, process improvement initiatives and implementation activities.

Assist in reviewing and updating Standard Operating Procedures (SOPs) and process documentation.

Provide operational coverage across different HRSS functions as required.

Contribute ideas and feedback to improve HR processes, service delivery and employee experience.

Requirements

Diploma in Human Resource Management, Business Administration or a related discipline.

Prior experience in HR Administration, HR Operations, HR Shared Services or Customer Service is preferred.

Entry-level candidates are welcome to apply.

Proficient in Microsoft Office, particularly Microsoft Excel and Word.

Experience with SAP SuccessFactors or other HRIS systems will be an advantage.

Strong customer-centric mindset with a commitment to providing quality HR service.

Good collaboration and teamwork skills.

Adaptable and resilient, with the ability to work across different HR functions and priorities.

Meticulous with strong attention to detail and accuracy.
