Plan & Book - 1 Year Contract

Key Responsibilities

Own the end-to-end order management process, from receipt and validation of customer orders through shipment planning, order and booking execution, final loading, and system completion, ensuring all applicable order and booking KPIs are achieved.

Receive and review customer orders for validity, completeness, and accuracy, ensuring compliance with applicable sales/pricing agreements, SOPs, and organizational policies.

Plan the appropriate shipment schedule to meet customers’ shipment requirements while optimizing loading schedules, minimizing operational risks and costs, and maximizing customer satisfaction.

Process and maintain orders accurately in the relevant ERP systems, ensuring timely and complete system updates throughout the order lifecycle.

Place orders with suppliers and bookings with carriers/service partners, ensuring timely receipt of order and booking confirmations and following up on any outstanding actions.

Own the relationship and communicate directly with customers, suppliers, carriers, and service partners on matters relating to order management and shipment execution to ensure orders are fulfilled according to the agreed plan.

Proactively monitor order status, product readiness, bookings, shipment schedules, loading activities, and key milestones, taking timely action to address any potential delays or deviations from the required shipment plan.

Manage, investigate, and resolve operational issues and exceptions with customers, suppliers, carriers, and service partners. Assess available options and implement appropriate solutions or alternative arrangements to ensure shipment requirements are met.

Receive and manage order amendment/change requests, assess their validity, feasibility, and operational impact, identify the root cause where applicable, and implement the required changes in coordination with relevant stakeholders.

Manage shipment exceptions, including but not limited to change of destination, detention-in-transit, air freight, shipment delays, booking changes, and other operational deviations, ensuring appropriate actions, approvals, communication, and system updates are completed.

Validate packing lists against customer orders and shipment details and complete the final load accurately and timely in the system once loading is confirmed.

Follow through on each order until the shipment is successfully loaded and all required order, booking, and shipment milestones are accurately reflected in the system.

Complete and/or close orders in the system, ensuring all mandatory system requirements are fulfilled to enable accurate digital order and shipment tracking and visibility.

Track and monitor order fulfilment performance and relevant KPIs, ensuring that shipment and order information remains fully visible and up to date in the system.

Monitor, compile, and analyze order management and shipment data to support exception management, root-cause analysis, performance monitoring, and identification of process improvement opportunities.

Maintain ownership of data accuracy, completeness, and integrity across the order management process and ensure all activities are performed in accordance with established SOPs and organizational policies.

Skills

Experience in order processing in a freight management environment, good knowledge of supply chain processes and logistics processes

Good problem-solving skills to provide supply chain solutions to customers

Quick to act, adapt to changes quickly.

Analytical skill

Good communication skill, fluent in English and preferably another 2ndlanguage

Meticulous and has an eye for details

Experience in using JDE and CW1

Experience

2 to 3 years of experience in order processing with problem solving skill, preferably in supply chain function

Experience in a planning role
