Clinic Assistant

Full-time ·Private specialist practice · Aesthetic & patient-coordination role

Experience: Previous work in an aesthetic, plastic surgery, dermatology, ENT or other private specialist clinic is strongly preferred.

About the practice

We are a specialist private practice combining facial plastic surgery, non-surgical aesthetic treatments and comprehensive ENT care. The clinic is designed around an efficient patient journey, high-quality clinical support, photography, procedure coordination and personalised service.

We are building a small, capable team in which people communicate well, help one another and take ownership rather than work within rigid departmental boundaries.

The role

We are seeking an energetic and highly organised Clinic Assistant with experience in aesthetics or private specialist practice. You will support patients from enquiry and consultation through procedures, surgery coordination and follow-up, while helping the clinical and administrative team keep the practice running smoothly.

The right person is warm with patients, digitally confident, adaptable and resourceful - someone who notices what needs to be done, takes initiative and follows tasks through without constant supervision.

Key responsibilities

Clinical & patient support

• Experienced in Plato is a must. Experienced in helping patients in insurance claims.
• Prepare consultation and treatment rooms, patients, forms and required equipment before clinics and procedures
• Strong interpersonal skills.
• Well-groomed and presentable. Ability to maintain a neat and professional appearance suitable for a client-facing environment.
• Excellent customer-service mindset.
• Assist clinicians during consultations and in-clinic treatments within the appropriate scope of the role and under clinical direction
• Take standardised clinical photographs and maintain organised before-and-after image records with appropriate consent and privacy controls
• Provide patients with clear appointment, preparation and aftercare information approved by the clinical team
• Support chaperoning, room turnover, infection-control routines and safe handling of clinical supplies
• Track follow-up actions so results, patient questions and outstanding clinical tasks are not missed

Patient coordination

• Coordinate consultations, aesthetic treatments, procedures and surgical follow-up appointments
• Support pre-operative administration, investigations, clearances, hospital or day-surgery bookings and post-operative scheduling
• Liaise with private hospitals, day surgery centres, laboratories, radiology, pharmacies and other healthcare providers
• Communicate promptly and professionally with patients by telephone, WhatsApp, messaging and email
• Maintain accurate patient records, consent documents, photographs and appointment notes in the clinic system
• Help provide a discreet, reassuring and efficient experience for patients and accompanying family members

Operations, insurance & teamwork

Clinic operations & aesthetics

• Maintain treatment-room readiness, consumables, product stock, expiry monitoring and day-to-day equipment checks
• Prepare aesthetic and procedure consumables and assist with stock ordering and inventory control
• Support photography, patient forms, educational material and other clinic workflows as required
• Handle patient information, photographs and communications in a confidential and PDPA-conscious manner
• Assist with checklists, SOPs, workflow improvements and the setup of new services as the practice grows
• Support reception, concierge and other team functions when needed rather than working within a narrow job boundary

Insurance & administration

• Prepare and follow up Letters of Guarantee (LOGs), pre-authorisations and supporting insurance documentation
• Liaise with insurers, third-party administrators and hospital business offices on estimates, approvals and requested documents
• Support accurate procedure information, quotations, supporting letters and claims-related administration
• Coordinate appointments, reminders, payments, receipts and follow-up communication where required
• Help maintain an organised digital workflow across clinical, insurance and administrative tasks
• Use shared task systems so work is visible, handed over properly and completed rather than left in silos

Requirements

Essential

• Previous experience in a healthcare, aesthetic or specialist-clinic environment
• Excellent patient communication skills and a warm, professional, reassuring manner
• Strong organisation and attention to detail, including accurate follow-up of multiple tasks
• Able to multitask, prioritise and remain composed in a busy patient-facing environment
• Proactive and resourceful, with initiative and a strong sense of responsibility
• Comfortable with computers, messaging platforms and digital clinic systems
• Genuinely collaborative and willing to share responsibilities and support colleagues
• Good written and spoken English and appropriate discretion with confidential information

Highly desirable

• Experience in aesthetic medicine, plastic surgery, facial plastic surgery, dermatology, ENT or a related private specialist practice
• Private-practice experience, particularly in a premium patient-facing clinic
• Experience with clinical photography, patient coordination or aesthetic treatment workflows
• Familiarity with insurance, LOG applications, pre-authorisation and Integrated Shield Plan processes
• Experience coordinating procedures or surgery across private hospitals or day-surgery facilities
• Confidence with EMR, CRM or clinic-management systems
• Working experience with AI-enabled productivity, communication, administrative or healthcare workflow tools
• Fluency in a commonly spoken local language is an advantage
