Vessel Accounts Executive – Shipping & Maritime

Location: Singapore

About the Role

We are seeking a detail-oriented and experienced Vessel Accounts Executive to support the financial and accounting activities associated with vessel operations.

The successful candidate will be responsible for managing vessel-related accounts, monitoring operational expenses, processing invoices, reconciling accounts and working closely with vessel operations, procurement, ship management teams and external suppliers.

This role is suited to an accounting professional with a strong understanding of shipping or vessel-related accounting who is comfortable working in a fast-paced maritime environment.

Key Responsibilities

Vessel Accounting

Manage day-to-day accounting activities relating to assigned vessels.

Process and verify vessel operating expenses, invoices and payment requests.

Review supplier invoices against purchase orders, delivery orders and supporting documentation.

Monitor vessel expenses and ensure transactions are accurately recorded and allocated to the appropriate vessel and cost centre.

Perform vessel account reconciliations and investigate discrepancies.

Maintain accurate records of vessel-related expenses and financial transactions.

Assist with monthly closing and preparation of vessel financial reports.

Prepare expense reports and financial summaries for management review.

Monitor outstanding invoices, accruals, prepayments and other vessel-related accounting entries.

Assist with budgeting and forecasting of vessel operating expenses.

Supplier & Payment Management

Liaise with suppliers, ship chandlers, service providers and other vendors regarding invoices and payment matters.

Verify invoices and supporting documents before processing payments.

Follow up on outstanding invoices and resolve billing discrepancies.

Maintain accurate supplier records and ensure proper documentation is available for audit purposes.

Coordinate with the Accounts Payable and Finance teams to ensure timely payments.

Vessel Operations Support

Work closely with Technical, Marine Operations, Purchasing and Crewing teams on vessel-related expenses.

Process accounting information relating to repairs, maintenance, spares, stores, crew expenses, port costs and other vessel operating activities.

Monitor and reconcile port disbursements and vessel-related expenses where applicable.

Review and process invoices received from vessels and third-party service providers.

Assist in tracking vessel budgets against actual expenditure.

Provide financial information to vessel managers and operations teams when required.

Reporting & Compliance

Prepare regular vessel accounting and expenditure reports.

Assist with month-end and year-end closing activities.

Ensure vessel accounting records are complete, accurate and properly maintained.

Support internal and external audits by providing relevant financial documentation.

Ensure accounting transactions comply with company policies and applicable accounting standards.

Maintain proper filing of invoices, payment documents and vessel financial records.

Requirements

Diploma or Degree in Accounting, Finance, Business Administration or a related discipline.

Minimum 2–5 years of relevant accounting experience.

Experience in vessel accounting, ship management or the maritime/shipping industry will be highly advantageous.

Strong understanding of accounts payable, reconciliations, accruals and expense management.

Experience handling a high volume of invoices and financial transactions.

Good knowledge of Microsoft Excel and accounting/ERP systems.

Strong attention to detail and numerical accuracy.

Good organisational and time-management skills.

Ability to work independently and meet deadlines.

Good communication and interpersonal skills.
