Senior HR Executive – Payroll & Work Pass

About the Role

We are seeking an experienced Senior HR Executive to manage key HR operations with a strong focus on payroll administration, work pass management and employee lifecycle processes in Singapore.

The successful candidate will be responsible for ensuring accurate and timely payroll processing, managing Singapore work pass applications and renewals, and ensuring HR practices comply with relevant Singapore employment and regulatory requirements.

This is a hands-on role suited to an HR professional who is comfortable managing payroll and work pass matters independently while supporting the wider HR function.

Key Responsibilities

Payroll & HR Administration

Manage the monthly payroll process for Singapore employees, ensuring accuracy and timely payment.

Handle payroll calculations including basic salary, overtime, allowances, deductions, bonuses, leave and other employee payments.

Administer CPF contributions, SDL, FWL and other statutory payroll requirements where applicable.

Prepare payroll reports and conduct regular checks to identify and resolve discrepancies.

Maintain accurate and up-to-date employee payroll and HR records.

Work closely with Finance to ensure payroll and employee-related payments are processed accurately.

Manage employee claims, leave records, attendance and other HR administration.

Work Pass & MOM Matters

Manage the full process for Singapore work pass applications, renewals, transfers and cancellations.

Handle work passes including Employment Pass (EP), S Pass and Work Permit, where applicable.

Ensure employee documentation and work pass records are properly maintained.

Monitor work pass expiry dates and initiate renewal processes in a timely manner.

Liaise with the Ministry of Manpower (MOM) and relevant authorities on work pass and employment matters.

Advise management and employees on work pass requirements and related HR procedures.

Ensure compliance with applicable Singapore employment and immigration requirements.

HR Operations

Manage the employee lifecycle from onboarding to offboarding.

Prepare employment contracts, HR letters and other employee documentation.

Support employee onboarding, including work pass processing and orientation.

Handle employee confirmations, transfers, promotions and resignations.

Maintain personnel files and ensure HR records are accurate and confidential.

Support performance management and other HR processes.

Assist with recruitment, manpower planning and employee engagement activities when required.

Provide HR support and advice to employees and managers on day-to-day HR matters.

Assist with HR audits, reporting and policy implementation.

Requirements

Diploma or Degree in Human Resources, Business Administration or a related discipline.

Minimum 2 years of relevant HR experience in Singapore.

Strong hands-on experience in Singapore payroll processing.

Proven experience managing MOM work pass applications, renewals and cancellations.

Good understanding of Singapore employment practices and statutory requirements.

Familiarity with CPF, SDL, FWL and other payroll-related statutory requirements.

Experience handling HRIS/payroll systems.

Strong attention to detail and ability to maintain accurate employee records.

Good organizational and time-management skills.

Ability to work independently and manage confidential information professionally.

Strong communication and interpersonal skills.
